Digital Transformation in Action: K2Tech Implements 1C-Based Electronic Document Management for Over 8,000 HR Documents

**K2Tech, an IT company, has successfully implemented an electronic document management system for human resources (EDM-HR) based on the 1C platform within its business processes. The project, carried out by its in-house specialists, marks a significant step in K2Tech’s digital transformation and has enabled the optimization of handling a large volume of personnel documentation (over 8,000 documents) while also reducing operational expenses.**

K2Tech is an IT firm with extensive expertise to support the digital advancement of industry leaders. The company focuses on providing solutions and services for sectors such as finance, oil and gas, mining, energy, machine engineering, commerce, as well as agriculture and food production. The company’s specialists are engaged in designing and constructing IT infrastructures, equipping industrial facilities, implementing business and industrial solutions, and providing ongoing service support.

A key driver behind K2Tech’s transition to the EDM-HR system was the urgent need to expedite document signing processes, particularly for remote employees, as well as the increasing volume of paperwork and legal requirements. With the changes enacted in 2023 allowing electronic formats for most HR documents, K2Tech quickly established system requirements, including support for multi-platform access (PCs and mobile devices), automated tracking of signing deadlines, integration with paper-based documentation, and compliance with on-premise information security standards.

After evaluating the solutions available on the market, K2Tech opted for the «1C: Employee Portal» system due to its built-in electronic signature support, deep customization capabilities to meet the company’s needs, the presence of a mobile application, and optimal pricing. The company’s extensive experience and skilled implementation team concerning 1C solutions also influenced this decision.

Throughout the project, K2Tech’s experts enhanced the features of the «1C: Employee Portal,» adding flexible document signing management and centralized oversight of any outstanding items related to those documents.

The implementation was carried out in phases, starting with a pilot for 300 employees and then scaling it up to the entire organization. By early 2025, the system was fully operational. A crucial factor that facilitated the rollout was the annual monitoring and the related volume of personnel changes—adjustments in positions, salaries, bonuses, and transfers among departments. The launch of the EDM-HR allowed all HR modifications to be conducted in a digital format.

“The transition to the ‘1C: Employee Portal’ system has led us to save over 10 million rubles on paper documentation, archiving, and logistics costs. Our extensive experience in integrating 1C solutions for clients facilitated a swift and efficient deployment of the system within our IT framework. Today, we are ready to replicate the success of this project for our clients, offering proven solutions for digital transformation in document management,” comments **Yuri Silantyev, Head of the 1C Practice at K2Tech.**

The results of the project have confirmed its effectiveness: 85% of the company’s employees are now connected to the EDM-HR. Through the mobile application, they can independently interact with the HR system and sign documents remotely in electronic format, significantly reducing the time required for document processing and expediting the onboarding process for new employees. In 2025, the company aims to connect all employees to the new system.
